Registration Guidelines for the MBSE 2024 Exhibitors
Registration as an exhibitor is possible only with a registration code on the MBSE registration website.
Please note, that the exhibition area will be allocated on a first-come-first serve basis.
After allocation and reservation of the exhibitor space, the DLR Event Management Support will send you an e-mail requesting the following info:
- Official name and address of the company:
- Invoice Address:
- Reference or Order Number (if applicable):
- Contact Person with the contact details (e-mail and telephone number)
This information will be needed for invoicing.
BESL Event Agentur GmbH & Co. KG is the DLR external partner for the registration of sponsors, exhibitors and participant and is also responsible for the invoicing and collection of the participation and exhibitor fees.
Upon the receipt of the required data, the DLR contract partner “BESL Event Agentur GmbH & Co. KG” will send you:
- an invoice for the exhibitor package to be paid for;
- Terms and Conditions for the MBSE 2024 Exhibitors;
- one invitation code for the registration of your booth staff onsite.
Your booth staff will have to register with the code on the registration website. The code can be used only once per person. In case your booth staff may change during the event and your company needs therefore more codes, please contact VMSSupport@dlr.de
A participation onsite without registration is not possible.

Registration for exhibitors will open on 11 March 2024.
Registration for exhibitors will close on 20 May 2024.
After 20 May 2024, registration is no longer possible. If there is an exceptional case, please send your e-mail request to the DLR Event Management Support: VMSSupport@dlr.de

The rent for each exhibitor package includes:
- Furniture (2chairs and 1 table), electricity, WLAN
- Inclusion in the exhibitor list on the registration website
- Free-of-charge participation in the MBSE 2024 scientific programme and its social programme for one person (28-29 May 2024)
- Daily catering (28-29 May 2024): coffee-breaks, lunch
- Participation in the social programme:
- Welcome Reception on Monday, 27.05.2024
- Excursion to the historical Bremen Ratskeller followed by the Workshop Dinner in the restaurant “Bremen Ratskeller” in the evening of Tuesday, 28.05.2024
- Technical Tour to the DLR site or to OHB in the morning of Thursday, 30.05.2024
The MBSE 2024 Exhibitor Packages does not include:
- insurance of the conditions and exhibits
- liability insurance
- all transport and delivery / freight costs
- all customs costs in Germany
- car park ticket of the venue
- accomodation costs

Additional Exhibitor Guest Ticket
If you would like to bring other interested person(s) (e.g. your customers or employees) to the MBSE 2024 Workshop, please contact VMSSupport@dlr.de. Bringing of an additional person to the event is subject to availability and is not free of charge.
The additional guest ticket costs 360 Euro.
The DLR Event Management Support will send an invitation code for the exhibitor guest ticket with a separate e-mail to the address provided by the sponsor. Please check your spam folder. Please note, everyone has to register with the provided code on the registration website. Each code can be used only once per person. Please note: a participation onsite without registration is not possible.
Payment
The following means of payment are available for participants and exhibitors:
- Bank Transfer
- Payment by credit card (MasterCard and Visa Card)
- Pay Pal
Please do not send any payments by bank transfer without quoting the invoice number and the name included in the payment details. Payments without the required reference information cannot be processed.
Your participation can be confirmed only when the exhibitor fees have been paid in full. Those exhibitors, whose exhibitor fees have not been settled by the first day of the event, will not be granted the entry.

Cancellation & Refund Policy for the MBSE 2024 Exhibitors
In case of a withdrawal by the exhibitor (cancellation) the exhibitor must pay the German Aerospace Center as a host and organiser the following cancellation fee, regardless of fault:
- 50 % of the agreed exhibitor fee until 15 May 2024;
- requests received after 15 May 2024 will not be eligible for a refund.
Cancellation requests should be submitted in writing by e-mail to VMSSupport@dlr.de by May 15, 2024.
Please note refunds will be made after the workshop on Model-Based Space Systems and Software Engineering (MBSE2024).

Customs
Customs clearance of your exhibition goods is a complex process. Any delivery fee incurred (e.g. VAT, customs fees) must be borne by the exhibitor. Neither the MBSE organizers nor Dorint City-Hotel Bremen will pay for any postage/shipping, customs expenses. Deliveries requesting custom fee payments will be refused.
The German Aerospace Center (DLR e.V.) could definitely not support any exhibitors of the MBSE 2024 workshop regarding the customs clearance/ EORI number for shipment to the MBSE Workshop in Bremen, Germany.
Some useful information
EORI Number
Exhibitors of the MBSE 2024 Workshop from countries within the EU must have an EORI number. Exhibitors at the MBSE 2024 Workshop from countries outside the EU are strongly advised to apply for an EORI number, especially in the case of shipping with third party companies. Goods sent to the workshop site may not be cleared in time for the exhibition and may be held up in customs.
The EORI Number is issued free of charge by the German Chief Customs Office in Dresden, the relevant document needs to be filled out in Form 870EORI_number.
Please note that it can take up to 3 weeks for the German customs authorities to process the forms, after which the documents with the EORI number issued will be sent to the applicant by post.

It is strongly recommended to apply well in advance of the planned shipment to Germany.
We recommend you to use an experienced German customs agent/agency. The customs clearance of goods for exhibition purposes is a complex process.
Customs agency can support you with your customs import and export processes, and handle all your organizational concerns, from customs declarations to follow-up work and process optimization.
Do this as early as possible so that you can prepare all necessary steps and documents (customs application, etc.) in due time.

A customs agency:
(customs broker or customs agent) is generally always required when goods are moved commercially between an EU country and a non-EU country, as a customs declaration (also known as a customs declaration) must then be submitted.
Tasks:
Advising the interested party in advance and then the actual customs clearance (clearance of the goods at the customs warehouse, customs clearance for free circulation, individual customs clearance if necessary, etc.). Assumption of all tasks, obligations & risks.
In the case of indirect representation, the representative (custom agent) submits the customs declaration in his own name but on behalf of the importer. In contrast to direct representation, the indirect representative is jointly and severally liable for all legal consequences of the customs procedure with the person for whose account he has acted.
